Domestic recruitment is free for candidates. Registration does not guarantee a job. Matchbox asks for written permission before sharing your profile with a named hospital. Assessment-result sharing and promotional messages are separate choices.
Request a correction, change permissions or ask for deletion. Requests are reviewed manually; this link does not change a preference by itself.
1. Who we are and how to contact us
Matchbox is a proprietorship operated by Shivaji Dube. Our operational address is 320/2/2B Jaiwantai, Lohegaon, Pune 411032.
Shivaji Dube currently manages privacy and consent requests. Email info@mymatchbox.in to ask a question, correct your information, withdraw permission or request deletion.
2. Information used for recruitment
Candidate information may include contact details, CVs, qualifications, professional registration, skills, experience, career preferences, applications and recruitment progress. If you take a Role-Fit assessment, this may also include your responses and results linked to your profile.
Employer and college enquiries may include organisation details, coordinator contact information and hiring, internship or partnership requirements. Recruitment facilitators or managers receive enquiries and use this information to respond and coordinate relevant next steps.
Provide only information relevant to your enquiry or recruitment stage. Do not send unrelated medical, financial or identity documents. Ask us why a document is needed before providing it if you are unsure.
3. Permission before hospital sharing
Our agreed approach is to obtain your written permission by email before sharing your identifiable profile with a hospital. The request should identify the hospital, role, location and information to be shared. Creating a profile is not blanket permission to send it to hospitals.
Profile sharing and Role-Fit sharing are separate choices. An unclear or missing reply is not permission. Read Candidate consent for the email process and your options.
4. Role-Fit information
The recruitment team can review Role-Fit results to support a discussion about relevant opportunities. Sharing results with a relevant hospital requires your separate permission.
The Hospital Role-Fit assessment is a development and discussion aid. It is not a clinical competency assessment and does not guarantee selection or employment. Review the purpose, limitations and consent shown on the assessment page before taking part.
5. Recruitment updates and optional promotions
Recruitment communication may cover your enquiry, profile, opportunities you are considering and application progress. Promotional messages are optional and should have a separate choice. Email info@mymatchbox.in if you want to change your communication preferences or stop promotional messages. The recruitment team records promotional opt-outs in the candidate record before future campaign sends.
6. Website analytics and campaign attribution
If you choose Allow analytics, Matchbox uses Google Analytics to measure website visits, page use and clicks to candidate, employer, college, job and Role-Fit journeys. Campaign parameters such as source, medium and campaign may be retained in your browser and passed to the relevant destination so Matchbox can understand which campaign led to an enquiry or registration.
Matchbox does not intentionally send candidate profile details, form-field contents or Role-Fit answers to Google Analytics. You can decline analytics when asked. Your choice is stored in your browser and can be reset by clearing this site's browser storage.
7. Services supporting the process
If you choose Open WhatsApp with CV summary, your contact details and a short summary of your role, qualifications, experience, skills and work preferences are passed to WhatsApp to prefill a chat with Matchbox at +91 8888 997755. You review and send the message in WhatsApp. The website does not automatically attach your PDF or photograph; you can choose to attach them inside WhatsApp.
If you import an existing CV in the CV builder, PDF, DOCX and TXT text extraction runs on your device. The original file and extracted source text are not uploaded or attached to an enquiry. You review and choose which details to use; only the selected details subsequently included in your completed CV are sent if you choose Send CV enquiry and agree to submission.
If you choose Send CV enquiry in the CV builder, FormSubmit processes the contact details, qualifications, registration details, work history, skills, job preferences and any optional photograph included in your CV and emails them to jobs@mymatchbox.in. You must choose to send and agree before submission. You do not need to sign in to Zoho or your email. FormSubmit states that submitted form data is retained in its submission archive for 30 days. See FormSubmit's privacy information. You can save or print your CV without sending it. Optional CV photographs are prepared on your device for the preview and saved PDF. If you choose Send CV enquiry and agree to submission, the selected photograph is sent through FormSubmit as an attachment to the email to jobs@mymatchbox.in. Removing the photograph before submission excludes it from the enquiry.
Matchbox uses Zoho Recruit for candidate records and recruitment, Zoho Forms for enquiries, and email for communication and written sharing permission. The recruitment mailbox is jobs@mymatchbox.in, accessed through Gmail. Read the notice and consent presented by each service when you use it.
Role-Fit results are delivered to Matchbox's assessment system. Matchbox verifies the candidate profile association before recruitment use. Check the delivery status shown after submission and contact us if it reports a problem.
If you submit an organisation or institution profile, FormSubmit processes the public profile details, selected facilities, optional photographs and PDF brochure, and representative contact details, and emails them to jobs@mymatchbox.in. The representative must confirm authority, accuracy and upload permissions before sending. Representative contact details are excluded from the candidate-facing preview. Submission does not automatically publish a profile: Matchbox reviews the information and agrees any candidate-facing use with the organisation. Do not upload confidential records or photographs of people without permission. Contact us to correct or withdraw submitted material.
8. Keeping information
We intend to maintain candidate profiles while candidates wish to stay associated with Matchbox, so they can seek support for a future job change. Assessment information should be used only while relevant to recruitment. Employer and college enquiry records should be reviewed when the requirement is fulfilled or cancelled.
Matchbox currently handles retention and deletion reviews manually across relevant active systems, mailbox copies and available backups. Automatic deletion is not enabled, and removal timing can differ between systems. Contact us to end your association or ask about information held about you.
9. Your requests and withdrawal
You can ask us to access, correct or delete your information, change your preferences, withdraw sharing permission or raise a privacy concern. Include enough information to locate your record; do not send identity documents unless we explain why they are needed. We may need to verify that a request relates to you.
Withdrawal applies to future sharing. It cannot undo information already disclosed to a hospital. Tell us if you need help following up with a previous recipient. We cannot promise that another organisation has deleted its copies without confirmation.
Some limited records may need to be retained for an applicable legal obligation or a dispute. Active records, downloaded copies and provider backups may have different removal processes. These details must be checked when responding to a deletion request.
10. Future international pathways
Expressing interest in another country does not mean a vacancy or pathway is active. Before any future international sharing, the relevant destination, recipients, purpose and additional choices should be explained to you.
